Abstract Artificial intelligence-based educational management systems are transforming institutional approaches to academic administration, teaching coordination, student support, resource allocation, and educational decision-making. These systems integrate artificial intelligence, machine learning, learning analytics, automation, cloud computing, and digital information systems to improve the management of increasingly complex educational environments. This study examines AI-based educational management systems, focusing on their applications in student administration, academic planning, performance monitoring, resource management, intelligent communication, institutional analytics, and decision support. A qualitative descriptive and conceptual research design was adopted using secondary academic literature. The analysis indicates that AI-based management systems can streamline administrative processes, support data-informed planning, automate routine activities, facilitate personalized student services, and improve institutional monitoring.
Predictive analytics can provide information concerning enrollment, academic progression, and resource requirements, while intelligent chatbots can facilitate access to routine institutional information. AI-supported scheduling and resource allocation can further assist administrative coordination. However, implementation introduces challenges involving data privacy, cybersecurity, algorithmic bias, transparency, system interoperability, faculty preparedness, financial investment, and institutional governance. The study concludes that AI-based educational management systems can support more responsive and data-informed educational administration when artificial intelligence is implemented alongside human oversight, appropriate governance, secure infrastructure, professional development, and transparent decision-making processes.
